Terms of Service

These Terms of Service ("Terms") govern access to and use of the AI Workforce Africa platform ("Service") provided by AI Workforce Africa ("we", "us"). By signing up, you ("Customer") agree to be bound by these Terms.

1. The Service

We provide cloud payroll, statutory compliance (NAPSA, NHIMA, PAYE) and reporting tooling. The Service is offered on a subscription basis, with a free trial where indicated at sign-up.

2. Your account

  • You must provide accurate account information and keep it up to date.
  • You are responsible for all activity that occurs under your account.
  • Keep your credentials confidential and notify us immediately of any suspected compromise.

3. Fees, billing and refunds

Subscription fees are billed in advance in Zambian Kwacha (ZMW) unless otherwise agreed. Payments are made by bank transfer or mobile money and are approved by our finance team once proof of payment is verified. Refunds are handled in accordance with our Refund Policy.

4. Customer data

You retain ownership of all data you upload. You grant us a limited licence to host, process and display that data solely to provide the Service. Our handling of personal data is described in the Privacy Policy.

5. Acceptable use

You must not misuse the Service. See our Acceptable Use Policy.

6. Availability and support

We aim to keep the Service available around the clock, but we do not guarantee uninterrupted access. Planned maintenance windows will be communicated where practical. Support is provided by email during business hours (see Contact).

7. Statutory calculations

We make reasonable efforts to keep tax and statutory rules (PAYE bands, NAPSA ceilings, NHIMA rates) current. Customers remain responsible for verifying every payroll and every filing against the rules published by the relevant authority. The Service is a tool, not a substitute for professional tax advice.

8. Suspension and termination

We may suspend or terminate accounts that breach these Terms, fail to pay, or pose a security or legal risk. You may cancel at any time from the Billing area; access continues until the end of the paid period.

9. Liability

To the maximum extent permitted by Zambian law, our aggregate liability under these Terms will not exceed the fees paid by you to us in the twelve months preceding the claim. We are not liable for indirect, incidental or consequential loss, including loss of profits or of data.

10. Governing law

These Terms are governed by the laws of Zambia. Disputes will be resolved in the courts of Zambia unless the parties agree in writing to arbitration.

11. Changes

We may update these Terms from time to time. Material changes will be notified by email or in-product notice at least 14 days before they take effect.
